01 · Getting started

Fit, pricing and customization

The essentials: whether Tidy Book fits your business, what it costs and how it adapts to your brand and operating model.

Can I have my own logo and colors in the mobile app?

Yes. In the Tidy Book app, members see your business name, logo and colors after login. For a fully independent app-store presence, an optional branded app add-on is available for €30 per month. Explore the mobile app options.

Is Tidy Book only suitable for traditional gyms?

No. It is suitable for gyms, CrossFit boxes, yoga and Pilates studios, dance or martial arts schools, personal trainers, and tennis or padel venues. It adapts to the way you organize classes, memberships or courts.

How much does Tidy Book cost?

Plans start at €35 per month and the first two months are free for new customers. Every plan includes every feature; the right one depends on your number of active members and the level of support you need. See all plans and prices.

Can I see how it works before deciding?

Absolutely. You can schedule a short demonstration tailored to your business type and see how bookings, memberships, members and daily management work in practice. Book a demo.

I have some specific operating rules. Can Tidy Book be adapted?

Tidy Book provides configurable options for memberships, bookings, cancellations, payments and staff permissions. For a more specialized rule, we review the specific scenario before confirming the best implementation.

How will Tidy Book help me in daily operations?

It brings your schedule, bookings, members, memberships, payments and notifications into one place. That reduces phone calls, manual records, repetitive work and day-to-day mistakes.

I have a small studio. Is the system too much for me?

Not necessarily. You can use only the features you need today, such as scheduling, bookings and memberships, and adopt more capabilities as your business grows.

02 · Bookings

Schedules, capacity and cancellation rules

From self-service online bookings and recurring classes to waitlists, recurring reserved spots and private sessions.

Can my members book classes themselves?

Yes. Members can see the available schedule and make or cancel bookings from their phone or browser, according to the availability and rules you set. Explore all booking features.

Do I need to create every class separately?

No. You can create recurring schedules—such as every Monday and Wednesday at 18:00—and let Tidy Book generate upcoming classes automatically. One-off and ad hoc classes are also supported.

Can I set a different capacity for each class?

Yes. You can set capacity by class or service type, together with a different room, instructor, duration and cancellation rules.

What happens when a class is full?

You can enable a waitlist. When a place becomes available, the system can notify or automatically promote the next eligible member, depending on the rules you choose.

Some customers attend at the same time every week. Is that supported?

Yes. You can create a recurring reserved spot for a member, and the system can automatically book them into upcoming matching classes when a place and valid membership are available.

Can I charge for a class when someone cancels at the last minute?

Yes. You can define a cancellation deadline. Before it, the class credit or payment can be returned; after it, the cancellation can be treated as late and charged normally.

Can reception make a booking for a member?

Yes. Authorized staff can make and manage bookings on behalf of members and see each class's attendance and wait lists.

Are personal training and private sessions supported?

Yes. You can create exclusive time slots where one booking reserves the full session, and record additional participants when needed.

03 · Memberships

Packages, unlimited access and renewals

Configure memberships around the way you sell services, from class packs to time-based and combined packages.

What types of memberships can I create?

You can create class-count packages, time-based unlimited memberships, combined packages for multiple services, and packages with separate class allowances by activity.

Can one membership cover both Yoga and Pilates?

Yes. You can create one shared class package for all selected activities or give each activity its own class allowance.

I offer a monthly unlimited membership. Is that supported?

Yes. You can create a time-based membership that allows unlimited bookings during its validity without deducting classes from a balance.

Can I freeze a membership when a member is injured or away?

Yes. A membership can be frozen for a defined period and its expiry date extended automatically. You can also define the permitted freeze days or number of freezes.

What happens when a member renews before their current membership expires?

The new membership can be queued after the active one so that it starts when the previous membership ends and no days or classes are lost.

04 · Payments

Online, on-site and outstanding payments

Manage multiple ways to pay while keeping a clear view of paid and pending transactions.

How can members pay?

Depending on your business configuration, you can support online card payments, cash on site, bank transfer, and free or promotional transactions.

Can I see which customers have not paid?

Yes. The system tracks paid and pending amounts, cancellations and refunds. You can also view reports by period, payment method, membership or service.

Can I accept some payments online and others at reception?

Yes. You can enable the payment methods that suit you and manage online transactions alongside cash or bank-transfer payments.

05 · Daily operations

Attendance, communication, staff and reporting

Tools to understand what is happening in your venue, keep members informed and give the right team members the right access.

Can I see who actually attended a class?

Yes. You can record check-in and check-out, connect attendance to a booking, and view visit history, visit duration and class occupancy.

Can members enter using a QR code?

Yes. Tidy Book supports temporary, controlled QR codes for check-in or access. Each scan can be logged with its result and entry time.

Will members be notified automatically about their classes?

Yes. Members can receive in-app and push notifications for class reminders, booking changes, cancellations, available waitlist places and important membership updates.

Can I send announcements to all members?

Yes. You can send announcements or updates to all members, specific users or groups, such as instructors or members whose memberships are expiring soon.

I do not want every employee to access everything. Is that possible?

Yes. You can create different roles and permissions for owners, administrators, reception staff and instructors so that each employee accesses only the features they need.

What business statistics can I see?

You can view data about bookings, class occupancy, cancellations, no-shows, active and expired memberships, revenue, payments, room usage and member activity.

I have more than one location. Can they be managed together?

Yes. Tidy Book supports different locations, rooms and services, with separate schedule organization and staff access based on your business structure.

06 · Switching

Member import and system migration

Switching starts with a review of the data you can export so the essential records can be moved in an organized way.

I already have all my members in Excel. Do I need to enter them one by one?

No. Members can be imported in bulk from a CSV file. Before the import is completed, the data can be checked for errors and duplicates.

I already use another system. Can I switch to Tidy Book?

Yes. A migration of core data such as members and contact details can be organized. The exact plan depends on the format and quality of the data you can export from your current system. See how switching works.
